Chestertown RiverArts, a large and growing nonprofit arts organization with a spacious gallery located in the heart of historic downtown Chestertown, Maryland, is now accepting applications for an Administrative Assistant.

The ideal candidate is someone that can handle multiple priorities and enjoys working with the public. Some weekend hours are required. The position includes managing correspondence, and overseeing the RiverArts Gallery. Intimate computer knowledge including excel, social media. Job Description for RiverArts Administrative Assistant

Maintenance and Operation of Gallery

  • Open and staff the Chestertown RiverArts Gallery up to 5 days a week, and participate at major events when possible.
  • Be the “face” of the organization for visitors and phone contacts
  • Keep the gallery organized for day to day business and for gallery volunteers
  • Listen to voice mail and respond or route to appropriate person
  • Read email and respond or route to appropriate person
  • Maintain a list of the necessary supplies for the gallery and notify appropriate person when additional supplies are needed or a problem arises.
  • Prepare gallery box for monthly exhibits and prepare signage.
  • Assist all Committee Chairs with various admin. duties, i.e. exhibitions and major events at RiverArts galleries and elsewhere, eg. Plein Air, Studio Tour, fundraising events, RiverFest.

Registration of Classes: RiverArts exhibition submissions, KidSPOT, Clay Studio and other Events

  • Work with Program, Clay Studio and KidSPOT coordinators to maintain and organize instructor information and order class supplies if needed.
  • Maintain online records of registrants for classes and other RA events
  • Work with Program Director to coordinate and update details for each class
  • Provide registration information for upcoming classes as directed
  • Contact and confirm with registrants one week before the class in which they are enrolled, location and supplies needed, and notify if class is cancelled

Maintenance of Membership Directory

  • Update and maintain membership database
  • Coordinate distribution of renewal notices with Executive Director
  • Keep Board and Membership Chair informed of new members monthly
  • Provide updated Membership Directory to executive committee and committee chairs as directed
  • Send thank you notes to membership renewals

Communications

  • Maintain and schedule social media posts
  • Work with Program Director, Executive Director to create email campaigns
  • Work with Executive Director to maintain website

Other Duties as Assigned

35 – 40  Hour per Week
